Capture

Screens

Today
Start here (Top 3 with reasons) answers what’s next; Undated lists open tasks missing a due date for one-time triage; sections below hold the rest.
Inbox
Route captures into work. Routed → Company for research and outreach artifacts (Re-import only on research). Import preview shows each task’s effective date; quick picks default dateless tasks to tomorrow.
Brain
Everything captured; organise later.
Companies
Status IS the pipeline: lead → contacted → discovery → proposal → won/lost.
People
Referrals live here.
Projects
Active delivery work. Create one against a company with an estimated value; Complete runs the Project Completion workflow.
Playbooks
Repeatable checklists, plus the two guided workflows. Apply a checklist to a company or project — selected steps become dated tasks, and the checklist is saved to Brain as the record of what you ran.
Review
The Friday and month-end rituals. Numbers are derived for the period, questions from Playbooks are asked, and saving writes a journal entry to Brain with the numbers included.
Settings
Account (email + Google sign-in), timezone, export backup, sign out.

Applying a playbook

Playbooks are checklists for repeatable processes. Open one, choose the company or project it applies to (content and review checklists are standalone), then confirm.

The steps that produce a record — logging outreach, moving a status, scheduling the follow-up — are ticked for you and default to tomorrow; use Today / Tomorrow / +1w / None to change a date, or untick a step to skip it. The rest are judgement calls and stay off. Only ticked steps become tasks.

Confirming writes the tasks — dated, linked to that company or project, and visible on Today — plus one Brain item holding the full checklist as the record of what you ran. Every task links back to it. Nothing is written until you confirm, and applying the same playbook again creates a fresh set rather than editing the last one.

Guided workflows

Two processes get their own screen because they capture as you go and produce several things at once. Both save continuously — a call that ends abruptly loses nothing, and the unfinished one waits for you on Today. Both show a “Finish creates:” panel listing every output before anything is written.

Discovery Mode — start it from a company. Questions and a coverage checklist sit on the left; capture pain points, current and future process, exact wording, timeline and budget on the right. Finishing writes the discovery note, creates or links the decision maker, moves the company to discovery, and dates the follow-ups.

Project Completion — start it from an active project. Capture before, problem, solution, outcome, time saved and lessons. Finishing writes a case study draft, a post draft and a testimonial request draft, records the final value, moves the project to completed, and creates the testimonial ask, the referral ask and a check-in three months out. Nothing is ever sent — the drafts are yours to edit.

Typing a contact name that already exists at that company links to them instead of creating a duplicate, and says so before you confirm. If two people there share the name, it asks you to pick.

Dossier v1 prompt

Paste this into Claude or ChatGPT when researching a company. Capture the reply via ⌘K, then Import company research from Inbox. Tasks without a due date default to tomorrow on the import preview — editable before confirm. Full walkthrough: Prospect research prompt.

Research the company named below and produce a prospect dossier.

Rules:
- Output exactly the format below, including the marker comment on the first line.
- Never invent. Leave any field blank if you cannot verify it from a real source.
- Do not guess emails, phone numbers, or names. Blank is always better than plausible.
- Keep Observations to what the sources actually say.

Company: <company name>

<!-- anguardia-dossier v1 -->
# Dossier: <Company Name>

## Company
- Industry: <industry>
- Website: <url>
- Location: <city or region>
- Source: <cold | referral | inbound | research>

## People
| Name | Role | Email | Phone | LinkedIn |
|------|------|-------|-------|----------|

## Observations
<free markdown: pain points, current software, manual workflows,
the personalised observation for outreach>

## Suggested tasks
- [ ] <task title> | due: <YYYY-MM-DD, optional>

## Suggested outreach
<the first message, written for the decision maker, under 150 words>

Convert existing research to Dossier v1

Already have notes or a Claude reply that is not in Dossier v1? Paste this prompt, then paste the research under it. Claude restructures only — never invents. Capture the reply and Import as usual.

Restructure the research I paste below into Anguardia Dossier v1.

Hard rule: restructure only — never invent. Fields not stated in the source stay blank. Do not guess emails, phones, or names. If Suggested outreach or Suggested tasks are not in the source, leave those sections empty (or omit the bullets). Keep Observations as free markdown from what is actually said.

Output exactly this format (marker included):

<!-- anguardia-dossier v1 -->
# Dossier: <Company Name>

## Company
- Industry: <industry>
- Website: <url>
- Location: <city or region>
- Source: <cold | referral | inbound | research>

## People
| Name | Role | Email | Phone | LinkedIn |
|------|------|-------|-------|----------|

## Observations
<free markdown: pain points, current software, manual workflows,
the personalised observation for outreach>

## Suggested tasks
- [ ] <task title> | due: <YYYY-MM-DD, optional>

## Suggested outreach
<the first message, written for the decision maker, under 150 words>
